Plan the delivery handoff, not just the destination

The receiving contact, cargo details and time window help turn a destination into an actionable request.

01

Identify the receiving point

A port name alone does not say who will receive the shipment. Add the intended receiving company or agent, contact information and the delivery address when known. If the vessel schedule may change, say which details are provisional and who will confirm them.

  • Recipient and contact
  • Address or nominated delivery point
  • Person responsible for schedule updates
02

Describe the cargo and timing

Provide the item description, available packed dimensions, weight and required date. If a product needs special handling, disclose that early and request a route-specific review. Do not infer a transport option from the item name alone.

  • Cargo description
  • Packed size and weight when available
  • Required date and handling requirements
03

Confirm who coordinates each step

Before dispatch, make clear who handles the receiving arrangements, local coordination and any outstanding documents. The route and final delivery scope should be recorded in the agreed quotation or dispatch instructions. A sample destination in a website directory is not a confirmed service booking.

  • Dispatch instructions
  • Receiving arrangements
  • Outstanding confirmations
